Site Selection
It's never just about picking a location that will cater for your attendance numbers, on a particular date, and for a particular purpose. It's about image, style and accessibility as well as the character of the event you have in mind.
We do not suggest a venue to you unless it meets the criteria you require. Choice of site is always critical to the success of an event. We do keep a portfolio of facilities which have best served past clients but are ever alert to new and promising possibilities in this regard.
Venue Contract Process
The next important point to consider after locating a possible site is the negotiation of just the right contract for you. Skilful negotiation during the contract process is just as crucial as the actual site itself - it can make or break the whole event. Our long experience at contract negotiation will ensure that clients not only get exactly the event requirements they want but at the best possible price.
Budget/Costs
Initially, we establish in partnership with our clients, a very comprehensive budget - a budget that we work from, and stick to faithfully at all times.
The system we have established enables us to track expenses, while watching for overruns and dealing with changes. Of course, we have a complete financial accounting as part of our end report and analysis.
Naturally, such items as catering, beverages, transportation, promotional materials and so on are taken into consideration.
Theme Development
We at JWHinc. realize you don't want the same old tired and stale corporate event, done in the same old way; that many companies still seem to trot out. You want a new and fresh angle. You want to set new standards of excellence - and JWHinc. ensures you get exactly that.
So, we develop and implement your theme accordingly, starting with the very first step, because that first step helps set the theme, which sets the tone and purpose for the entire event.
Starting with such items as your invitations, your advertising, your promotional and published materials, through to the table settings and such items as stage production and presentation - we cover all aspects involved in the visual setting up of your event.
JWHinc. works closely with clients to ensure that absolutely every single aspect of the event's theme not only meets, but exceeds, the client's expectations.
Catering
Many years have passed since catering was just a matter of making sure there was enough food for the numbers! It's about researching and selecting around the theme for the event, then contracting with the right caterer for that style of food, Mediterranean, Asian, Mediterrasian (the new healthy in-vogue combination), Kosher or whatever it may be.
JWHinc. is involved from the initial proposal stage right through to the execution process.
Beverages
Must be tied in exactly with the catering process for reasons not only of quantity and quality but for reasons of style and suitability. We procure, select and arrange delivery of wine, beer, liquor and all other beverages.
Invitations and Promotion
This is another all-important phase. It's not just about designing and dispatching the invitations to prospective attendees and tieing the invitations in with the theme - it involves so much more.
Things like the proper handling of possible follow-up questions, keeping an accurate (and up-to-date) track of acceptances and issuing acknowledgements and receipts.
Any delays to attendees' questions at this stage of the process can so easily leave a lasting bad impression. This does not happen with a JWHinc. event.
Another important factor is that we share with you as a valued client our 'tried and true' ideas about the types of promotional material that has achieved the most successful results.
Liaison
JWHinc. acts as the single point of contact for all vendors and the venue, thus ensuring all delivery schedules and compliances with the rules and regulations of the chosen site. In other words - the responsibility is on us (not with you) to keep track of the detail.
Our approach in this regard guarantees a minimum of confusion, ensuring a harmonious rhythm and flow between the vendors and venue - the buck stops with us.
Vendor Contract Negotiation
To start with, JWHinc. retains and deals only with those suppliers who have either distinguished themselves personally with us, or are well known and acknowledged within the meeting planner community.
Our years of negotiating contracts with suppliers enable us to achieve the best quality and price available within your budget.
Ranging from contracting caterers to furnish food and refreshments, décor, props, audio visual needs, entertainment, flowers, security and departure gifts or favors, through to valet parking and transportation to and from the venue. And these are just a few of a successful event's necessities.
Event Time Line Script (Your Program for the Event!)
Your Script or Program is the heart and pulse of your event. Its content enables the event goals to be met as well as communicating the theme. It can focus on one performance, or it can incorporate many different performances and media presentations.
The Event (ie Time Line Script) follows the time line goals for the event, controlling the flow from beginning to finish of the entire process, ensuring efficiency of purpose and budget.
Registration
JHWinc. supervises both pre-registration and on-site registration, managing the collection of all monies, as well as distribution of identity badges and printed material.
Your guests experience an orderly and efficient reception, one that offers a warm and cordial welcome. But equally importantly, a reception that promotes the theme of the event and has attendees believing they certainly made the right decision to come.
The registration process should build on the anticipation for the event, not just be seen by attendees as a necessary evil.
On-site Monitoring
JWHinc. leaves nothing to chance, staffing the premises before, during and after the event.
Our staff supervise the million and one details involved in preparing for the event, track and maintain the flow of all facets of the program (during the event), and, at the end, handles all those final jobs, such as the issue and collection of participant assessments; even supervising the dismantling of the accessories if required.
